The problem, then the record
Three places customer history gets lost
- 01On a spreadsheet
The customer’s details are in the job sheet, the calls are in someone’s phone and the complaint is in the inbox.
With jobwinOne record: contacts, every lead, every case and a merged history of all of it, newest first.
- 02On a spreadsheet
A complaint arrives by email, gets read, and sits there until the customer rings again, angrier.
With jobwinOpen a case: what happened, the category, the severity and a follow-up date. It goes on the customer’s record and on To-do.
- 03On a spreadsheet
The same customer is in the spreadsheet three times, spelt three ways.
With jobwinWon leads and imports are matched by phone and email, so a returning customer is linked, not added again.
The customer record
Everything about a customer, in one place
The record leads with what matters: open pipeline, lifetime won and open cases. Below it are the contacts (with the channel each prefers), tags, owner, address and notes; one-tap logging for a call, an email, a booked call, a note or a visit; every lead and case linked to the customer; and the full history.
- Companies and individualsA business with several contacts, or a homeowner: both live in the same book.
- One merged historyThe customer’s own entries, every linked lead’s activity and every case update, together.
- New enquiry from the recordStarts the enquiry with the customer already filled in.

Cases
Complaints that get owned, chased and resolved
A case records what happened, who reported it, the category (Complaint, Service issue, Incident, Query or Safety), the severity (Low to Critical) and when to follow up. Its status moves from Open to Investigating, Waiting on customer and Resolved, each change logged, and it cannot be resolved without a written resolution.
- An investigation logDated, attributed updates on the case itself.
- Service agreementsGive a customer response and resolve times; new cases take their due time from it, and a late one shows “SLA breach”.
- Export to ExcelOpen, overdue, resolved or all cases, as a workbook.

The customer list
Find the right customers, and keep the rest apart
Filter the customer list by tag, status or owner and save the result as a segment, such as contract customers or landlords. Pick the columns you want and export to CSV. Suppliers, partners and the people who refer work go in Contacts instead, kept out of the pipeline, the forecast and won revenue.
- Saved segmentsAll, Companies, Individuals, then your own segments.
- Contacts, apartSupplier, partner, industry contact or other: never a lead, never a customer.
- DocumentsThe price list and the standard contract, in one library everyone can open.

Where this record goes next
Every part of jobwin writes to the same record, so what happens here shows up in these.
Honest limits
Customer records, precisely
A customer record holds the people, the work and the history. It is not a job sheet: jobwin does not schedule work, raise invoices or hold stock. In the jobmate family, delivering the work is what jobmate is for.
Emails are logged on the record when you send them from your own mail app through jobwin. Syncing a whole mailbox is on the roadmap, so incoming mail does not file itself yet.
Customer import is from CSV. Rows that share a company become one company with each person as a contact.
