Can another customer see our records?

No. Every table has database rules that return only your organisation’s rows, and a person needs a licence in your organisation to read anything at all.

Can a team member see everyone’s leads?

Roles decide it. Team members work their own leads, customers and cases; managers see their team’s; owners and admins see everything. Read-only users can look but cannot change anything.

Is there an audit trail?

Yes. Owners and admins have an activity log of every record opened, changed, imported or exported, and of sign-ins and administration. Nobody can edit or remove an entry, and entries are kept for six months.

Can we get everything out?

Yes. Leads and customers export to CSV, reports and other lists to Excel, and the whole organisation to a JSON backup.

Where the data lives

One organisation’s records, kept to itself

Hosted in the EU

jobwin’s database runs in the Ireland region. Error reports go to an EU-hosted service and carry no names, addresses or record contents.

Each organisation walled off

Every table has database rules: a query from your organisation only ever returns your organisation’s rows, and a person needs a licence to read anything.

Your documents

The organisation library holds files up to 50 MB each. Everyone in the organisation can open them; owners and admins keep it stocked.

Encryption and backups are those of the hosting provider’s plan. Ask sales@jobmate.cloud for the current terms before you rely on them.

Access

Five roles, checked by the database

What each person can see and change is decided by their role. A read-only user’s changes are rejected by the database, not just hidden in the app.

Teams

Up to ten teams, so a manager runs theirs and sees their team’s pipeline.

Owners and admins can see the app exactly as any teammate sees it.

Edits to the history

Only the author can delete an activity entry, and only owners and admins can edit one.

Exports by role

Exports and reports need the export permission, which team members do not have.

Activity log

Every record opened, every change, every export

Owners and admins see one log for the whole organisation: records opened, created, edited and deleted, imports and exports, sign-ins and administration. Entries cannot be edited or removed by anyone, and are kept for six months.

Filter it

By what happened, from Opened a record to Signed in, over today or the last 7, 30 or 90 days.

Export it

As CSV or as an Excel workbook.

Append-only

The database accepts new entries and refuses changes, and removes entries after six months.

Your data

Everything you put in, you can take out

“Your data is yours. Exports are plain CSV and JSON, no lock-in.” That is the app’s own line, in System settings → Data.

Reports, cases, contacts and the activity log as real .xlsx files.

A full backup

The whole organisation as one JSON file, from System settings → Data.

This page lists a certification only once it is held. None is listed today; that line changes the day one is.
